Tasks and activity

What a task is, the statuses it moves through, and where to find every task in the workspace.

A task is one piece of work the team is doing for you: a run of a channel's playbook or of an automation. Wherever a task appears, it carries the same status and opens the same run view.

Where tasks appear

  • The channel timeline, as it happens.
  • Recent in the sidebar, next to your chats.
  • Chats, under the Tasks filter, next to your conversations.
  • Activity in the sidebar: every task across your automations, with filters for time, status and automation, and a search box.
  • An automation's Overview tab, where each run is an item with fields. See Runs and the overview.

Statuses

StatusMeaning
QueuedAccepted, waiting to start.
RunningIn progress. The step line says what is happening.
Needs inputParked on a question for a person. Answer it and the task continues.
DoneFinished successfully.
FailedStopped on an error. The trace shows where.
CancelledStopped by a person.

A task can also carry a review state: Needs review, Approved or Rejected. A task needs attention when it is waiting for input, failed, or needs review.

Answering a question

When a task parks, the question shows as a card in the channel, in the chat that started it, and in the run view. Cards with options render them as choices; Something else lets you type. On the phone, a push notification tells you a run is waiting when notifications are on in your account.

If an automation has a Slack or WhatsApp escalation door, the same question is posted there as a card with buttons, and the answer can be given from there. See WhatsApp, Slack, Telegram and Teams.

The run view

Open any task to see:

  • Outcome: a short summary of what was done.
  • Fields: the structured values the run produced, as configured on the automation.
  • Files: deliverables with Preview and Download. Images and PDFs preview in the run panel; in a channel, Word documents preview too.
  • Steps: the plan with each step's state and timing.
  • Trace: every tool call and message, for when you want to know exactly what happened.
  • Assignee and the review actions.

Deleting a task

From the channel side panel choose Delete this task. The deliverables it produced are removed with it.
